Privacy Policy

How Droid Deploy collects, uses and protects information, both for the businesses we work with and for the people who text, call or chat with them.

01Who we are

Droid Deploy ("Droid Deploy", "we", "us") builds and runs AI-assisted communication tools for healthcare practices and other businesses. Our services include Front Desk AI, which answers a business's text messages, phone calls and website chat, and Campaign AI, which sends follow-up messages for the business. We also run our own website at droiddeploy.com and the client app at app.droiddeploy.com.

For our clients (the businesses we work with)

When a business visits our website, signs up, or uses our client app, we collect and use their information as described in this policy.

For our clients' patients and customers

When you text, call or chat with a practice or business that uses Droid Deploy, we handle that conversation on the business's behalf, as its service provider. The business decides how your information is used, and its own privacy notice applies too. We only use your information to provide our services to that business, under our agreement with it. If you have questions about your records with a practice, contact the practice directly; we will help them respond.

03Information we collect

  • Contact details such as your name, phone number and email address.
  • Conversation content: the text messages, chat messages and emails you exchange with a business through our tools, and the reason you got in touch.
  • Call information: when a call is answered by a business's AI voice assistant, the call may be recorded and transcribed, and we keep details such as the time and length of the call.
  • Summaries and follow-up notes created from your conversation so the business's staff can follow up with you.
  • Business information our clients give us during onboarding, such as practice name, hours, services, staff names and contact details, and booking links.
  • Technical information such as your browser, device and pages visited, collected through cookies and similar technologies when you use our website or client app.

04How we use it

  • To answer your messages and calls on the business's behalf, share its information (such as hours, services and booking links), and pass your request to its staff when a person is needed.
  • To create summaries, tasks and daily reports that help the business's staff follow up with you.
  • To send messages you have asked for or agreed to receive, including follow-ups from the business.
  • To set up, support, secure and improve our services, and to keep records our clients need.
  • To meet legal obligations and protect our rights and the rights of others.

We do not sell personal information, and we do not use it to advertise our own services to you.

05AI assistants

Some conversations are answered by an AI assistant rather than a person. The assistant is instructed to be honest that it is a virtual assistant if asked, to stick to the business's own information, not to give medical advice, and to hand you to the business's team whenever you ask for a person or need one.

To write replies and summaries, conversation content is processed by AI models from third-party technology providers under agreements with us or our platform providers. AI can make mistakes, so please confirm anything important, such as appointment details, directly with the business.

06Who we share it with

  • The business you contacted and its staff, who can see your conversation, summaries and follow-up tasks.
  • Technology providers that help us deliver the service: our CRM and hosting platform, phone and text message carriers, email delivery, AI model providers and payment processors. They may use the information only to provide their services to us.
  • Authorities or others when required by law, or to protect safety, rights or property.
  • A successor business if Droid Deploy is involved in a merger, acquisition or sale of assets, subject to this policy.

07Text messages and your phone number

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the categories of sharing above exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Your phone number and text messaging consent are used only to send you the messages you asked for or agreed to receive. You can reply STOP at any time to stop text messages, or HELP for help. See our Terms of Service & Disclosures for full text messaging terms.

08Health information

Many of our clients are healthcare practices, so conversations may include health-related details you choose to share. We handle this information only to provide our services to the practice and according to our agreement with it, and we limit who can access it.

Our assistants are instructed not to ask for sensitive health details over text. Please don't send detailed medical information, insurance numbers or other sensitive details by text message; call the practice instead. In an emergency, call 911.

09How long we keep it

We keep information for as long as we provide services to the business it relates to, and afterwards only as long as needed for legal, accounting or security reasons, or as the business instructs us. When we no longer need it, we delete it or make it anonymous.

10Security

We use administrative, technical and physical safeguards to protect information, including access controls and encrypted connections. No method of transmission or storage is completely secure, so we can't guarantee absolute security, but we work to protect your information and to respond quickly if something goes wrong.

11Your choices and rights

  • Text messages: reply STOP to opt out, HELP for help.
  • Emails: use the unsubscribe link in any marketing email.
  • Access, correction and deletion: depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information. If your information relates to a practice or business you contacted, please ask them first; otherwise contact us below. We may need to verify your identity, and we will not discriminate against you for using your rights.

12Children

Our website and client app are not directed to children under 13, and we do not knowingly collect their information directly. A practice may share information about a minor patient with us only as needed to provide our services to that practice.

13Changes to this policy

We may update this policy as our services change. We will post the new version here with a new effective date, and tell our clients about important changes.
